Overview

If there is a Purchase Order in eMMA, a receipt must be created. Once the receipt is created it comes back to the Requester to review and approve the details.

Both the Vendor and state users can create receipts. When Vendors create receipts, they are called Advanced Shipping Notices (ASNs). This happens in the Vendor Portal. In this scenario, the Vendor is responsible for creating the receipt and the Requestor is still responsible for approving it.

This Quick Reference Guide (QRG) shows a user with the Requester role how to approve those receipts and Advanced Shipping Notices (ASNs) from a vendor in eMMA.

Prerequisites

You will need an existing Purchase Order in eMMA and submitted receipt or ASN.


Step-by-Step Instructions

Approving Receipts or Advanced Shipping Notices (ASN)

  1. Access eMMA at https://emma.maryland.gov and log in with your credentials.

    NOTE: Depending on your agency, you may only need to click the State SSO Login (Secure Auth) button or the MDOT SSO Login (MSAzure) button and log in with your credentials.

     
  2. On the homepage you will see the My pending validations section. Click the appropriate Receipt (blue link) preceded by the words “Confirm Receipt” in the Activity column.

    NOTE: If you do not see the validation you’re looking for, click the blue Results link in the top right corner of this section. You will see a full list of validations assigned to you.

  3. Review the details of the receipt.

  4. Click on the Receipt Confirmed button at the top of the webpage.

The Receipt or Advanced Shipping Notice (ASN) is now approved.
