This Knowledge Article discusses how to view comments when an invoice is canceled in eMMA.
When fiscal cancels an invoice, a reason for the cancelation is required. Internal users (invoice creators) will therefore be able to view the reason for cancelation.
Please keep in mind, vendors cannot see this information. From the vendor’s perspective, that invoice no longer exists. Therefore, it is imperative that internal (state side) users communicate with their vendors and notify them of any corrective action required for invoice processing.
Below are screen shots to reflect this new process:
When a user rejects an invoice (PRE-Integration; OK2Pay/RStars), a comment field displays. Please provide information about why you rejected it and what needs to be fixed. Once rejected, the invoice returns to Draft status and the creator receives a notification from eMMA.
The creators (State-side only) can view the comments by following these steps.
IMPORTANT!!You must reach out to Vendors and inform them of the reason of rejection. At this time, the notification email does not include comments, and Vendors cannot see internal comments from their view of the system. Once the invoice is rejected, the vendor no longer has access to the canceled invoice in the system.
- Navigate to the rejected Invoice in eMMA.
- Click the Edit (pencil) icon to access an invoice. On the invoice page, the title will say “Cancelled” in both the title and at the Voucher header. At the bottom of the voucher, state-side users can view the Reason for Cancellation, the Cancellation Date and time, as well as the state-side user who cancelled it.
Alternate Method:
- Click the Workflow tab on the left-hand side-panel and click the arrow to the left of the Previous Approvals & Refusals section.
- Click the word bubble under the red dot next to the rejector’s name to display the comments.
The comments are displayed.
