Overview

This Quick Reference Guide (QRG) is intended for Procurement Officers and Agency Buyers who need to search, browse, and filter sourcing projects in the eMaryland Marketplace Advantage (eMMA).

NOTE: For best results, use the Google Chrome browser to access eMMA.

Step-by-Step Instructions

Browse Solicitations

  1. Access eMMA at https://emma.maryland.gov and log in with your credentials.

    NOTE: Depending on your agency, you may only need to click the State SSO Login (Secure Auth) button or the MDOT SSO Login (MSAzure) button and log in with your credentials.

  2. Click the Sourcing tab at the top of the screen and select Browse Sourcing Projects from the drop-down menu that opens. A list of sourcing projects that you’re a part of displays.

  3. The Limit to my scope filter is on by default when you reach this page. This filter limits you to see objects (sourcing projects) based on your assigned organization and commodities within the system. Even if a user is listed as a team member on an object, that user cannot see the object unless they have the proper scope assigned to the profile.  Below the search fields at the top, click the X to the right of the Limit to my scopfilter to remove it.Red boxes highlight the 'x' icons to remove a filter on the "Browse Sourcing Projects" page.
    1. (Optional) To turn the Limit to my scope filter back on, click the checkbox to the left of the Search button.

  4. Click the Search button to the right of the filter fields. The page displays a list of all Sourcing Projects.

    NOTE: If you had checked the checkbox next to the Search button before running the search, the page would be restricted to Sourcing Projects that apply to your scope.

Filters

The filters provided on this page let you narrow the list of sourcing projects to a smaller and better-defined list. This section shows how to use the filters on the Browse Sourcing Projects page. You can use one filter or a combination of multiple filters. Applied filters display below the filter fields. Reminder that if utilizing multiple filters, it will be an "and" filter.

Keywords

  1. Enter a search term or keyword for the sourcing project in the Keywords field. This can be the name of the sourcing project, sourcing project number or any term.

  2. Click the Search button. The page displays sourcing project results based on the term you entered.


Issuing / Other Agency

  1. Click the Issuing / Other Agency field to enter a name or search the drop-down menu. Select the Issuing Agency or other agency associated with the sourcing project or click See All at the bottom of the menu.

Search for a term in the Keywords field and click the Search button to return relevant results. Select an agency from this list and close the window. The agency auto-populates in the Issuing / Other Agency field. This is a multi-select field so you can choose multiple agencies if needed.

  2. Click the Search button to display results.

Procurement Officer / Buyer

  1. Click the Procurement Officer/Buyer field to enter a name or search the drop-down menu. Select the Procurement Officer (PO) associated with the sourcing project or click See All at the bottom of the menu.  This is a multi-select field so you can choose multiple agencies if needed.

    NOTE: Clicking See All opens the Contacts window in which all internal contacts are listed. At the top of the window are four more filter fields you can use to narrow your results; Keywords, Type (which is auto populated and grayed out for Internal Contact), Commodity, and Organization. You can use one filter field or a combination of many to filter results. Click the Search button to return relevant results. Select a Procurement Officer / Buyer from this list and close the window. The selected PO populates in the Procurement Officer/Buyer field.

  2. Click the Search button to display results.

Main Category

  1. Click the Main Category field to enter a name or search the drop-down menu. Select the main category for the sourcing project or click See All at the bottom of the menu.

    NOTE: Clicking See All opens a window in which all main categories are listed. Search for a term in the Keywords field and click the Search button to return relevant results. Select a main category from the list and close the window:—the selected category auto-populates in the Main Category field. This is a single select field so you can only pick one category at a time; however, clicking See All can give you a higher level category to encompass more all lower level categories in the search.

  2. Click the Search button to display results


Progression

  1. Click the Progression field to select a workflow status from the drop-down menu. eMMA will filter results based on what step of the solicitation workflow the sourcing project is currently at.

  2. Click the Search button to display results


Once you locate the desired sourcing project in the list, click the blue hyperlink in the Sourcing Project column to view its details.

This will open an expanded view of the sourcing project with links to individual lots and/or rounds.   • Access Project Details - Opens the project just like clicking on the hyperlink in the Sourcing Project column
  • Close Project - Closes the sourcing project
  • Duplicate Project - Opens a pop-up winder where you can choose which tabs from the original sourcing project you would like to copy into a new sourcing project
  • Download Project Summary PDF - Exports a summary of the project in PDF format
  • Download Project Summary Word - Exports a summary of the project in MS Word format


Other Filter Menu Functions

Click the filter (funnel) icon in the upper left corner of the page to open the side-panel. This is the advanced filters section that allows for specific filters. Find each of the fields described below by clicking the funnel icon.        

 

NOTE: Click outside the side-panel to collapse it.

Filter Sourcing Project by Vendor

The Vendor field lets you display sourcing projects based on the Vendor associated with the sourcing project.

  1. Click the filter (funnel) icon in the upper left corner of the page to open the side-panel.
  2. Click the Vendor field to open the drop-down menu and select one or more options from the menu.
